HELM Concierge Calendar — privacy notice

HELM Concierge Calendar lets a villa guest ask the concierge to create and manage entries in a dedicated concierge calendar. A calendar entry is not a reservation or booking confirmation.

Information used

HELM uses the connected Google account identity to check that it is the account selected by the operator. For each requested event, HELM handles its title, start and end times, time-zone offset, Google event identifier, verification result, and an ownership marker. HELM also keeps the guest’s request and a record linking the event to that guest’s authorized stay.

Google’s current consent grants broader Calendar access than the guest tool uses. The configured guest tool is restricted to its own HELM events in the operator-selected dedicated calendar. It cannot browse unrelated calendars, invite attendees or change calendar sharing.

Where information goes

Event details are sent to Google Calendar. Guest instructions and the event details needed to answer are processed by HELM’s configured AI provider. Messages and replies pass through Telegram when that is the guest’s chosen chat channel. Authorized villa operators can access HELM’s operational records and the dedicated calendar according to their existing account permissions.

Google authorization credentials are stored privately on the operator’s HELM server. They are not provided to guests or included in the model’s tools.

Retention and control

Calendar entries and HELM operational records are retained until removed. Checkout does not automatically erase them. Operational history and backups may retain prior records after an event is removed. Guests can ask HELM to remove their own events while their stay access is active, or contact the operator afterward.

The connected account owner can revoke HELM’s Google access in Google Account settings. Revoking access stops future authorized Calendar operations; it does not itself erase previously created events or HELM records.
